The Intake Audit · for personal-injury firms

How many cases is your intake leaking?

We test your firm the way a real lead would: the form, the call, and after hours. Then we count your unsigned backlog and show you the gap, in your own numbers.

Why speed decides

The firm that answers first often gets the case.

An injured person fills in forms on three websites at 9 PM. Whoever reaches them first, and makes a good first impression, usually ends the search.

42%of people end their search after speaking to a lawyer who makes a great first impression. Responsiveness was the top factor.
~7×more likely to qualify a lead when you try to reach it within an hour, vs. waiting one hour longer. 60×+ vs. waiting a day.
2 of 3law firms never answered an email from a potential client in a 2024 secret-shopper study. 48% couldn't be reached by phone.

Industry benchmarks, not our results. Sources: Clio, Legal Trends Report 2019 (42%) and 2024 secret-shopper study (email and phone); Oldroyd, McElheran & Elkington, "The Short Life of Online Sales Leads," Harvard Business Review, March 2011 (sales leads across industries, not legal-specific).

What we test

Four tests. Your real intake.

With your written permission, over about two weeks. Invented, low-detail test leads, clearly logged as tests.

01

The form

Two web forms, one after 8 PM. We time the first reply and log what it said.

02

The call

A daytime call. Was it answered live, were the basics asked, was a consult offered?

03

After hours

Two evening calls and one at the weekend. Voicemail, answering service, or a person?

04

The backlog

From a read-only export: unsigned leads from the last 6 to 24 months, no-shows and unsigned retainers.

Your math, not ours

Put your own numbers in.

This is the same template we fill in during the audit. Every box starts with an example, so replace them with your firm's figures.

$
%
%
%
$
Lead spend on slow leads
$5,250

per month, spent on leads who waited.

Signed cases at stake
≈ 19

per year, if your assumption holds.

Fee value at stake
$190,000

per year, at your average fee.

An estimate from your own inputs, not a forecast or a promise. The "would have booked" share is an assumption: we suggest a cautious 15–20%. The audit replaces the examples with your measured numbers.
How it works

Careful by design.

  • Written permission firstThe managing partner signs a one-page OK naming the channels, dates and test persona. You choose whether intake staff are told.
  • We test, we don't take attorney timeWe never ask for legal advice. If a test consult gets booked, we cancel it the same day.
  • Read-only dataResponse times on your last 90 days of real leads from Clio, Lawmatics, Lead Docket, Filevine, CASEpeer or Litify. Nothing is changed.
  • A 30-minute walkthroughWith the managing partner and intake lead, at the end.
What we never do in the auditContact any real lead or past client, give legal or ethics advice, evaluate cases, or change your systems. Calls are recorded only where allowed, with notice where required.

What you get

  1. A scorecard per channel and time of day, with timestamps and recordings.
  2. Your backlog number: unsigned leads with consent, without consent, and those your attorney needs to review.
  3. Your dollar-loss estimate, the template above, filled in with your measured numbers.
  4. A 30-day plan with the three fixes that matter most, whether or not you hire us.
  5. A list of every test record so you can delete them.
The fee

One flat fee. Credited back if you start.

The audit is a flat fee, agreed on a short call before anything starts. If you go on to work with us within 30 days, the full fee is credited to setup.

We never charge per lead or per signed case.

  • 10 business days from your written OK to the walkthrough.
  • Every test documented, with times and recordings.
  • No guarantee of signed cases. We guarantee the work.
Questions

Before you apply.

Will my intake team know they're being tested?

That's your choice. Some partners tell the team in advance, some prefer to see the normal day. Either way, the scorecard is about the process, not about blaming a person.

Do you contact our past leads?

Not during the audit. We only count the backlog from a read-only export, and an attorney at your firm marks which leads are still viable. Recovering them is separate work, done only with consent on record.

Is this legal or ethics advice?

No. LawLead Loop is not a law firm. We flag gaps in things like call and text consent wording or recording notices; your ethics counsel decides what to do about them.

We already use Clio Grow or an answering service.

Good, then the audit shows how that setup performs at 9 PM on a Sunday. Many firms are surprised either way. We test what you have; we don't assume it's broken.

Which firms is this for?

US personal-injury firms with 3 to 15 lawyers that already pay for leads. Not sure you fit? Apply anyway and we'll tell you honestly.
